What a Manufacturing RFQ Form Should Collect Before Sales Receives It

The best RFQ form does not merely capture interest. It gives the first person who opens the submission enough structured information to start pricing.

Most manufacturer RFQ forms are built by whoever built the website, not by whoever has to quote against the submission. That is the whole problem in one sentence.

A designer looks at the contact page, decides “name, email, message” is not enough for a request for a quote, adds a few fields that sound relevant—company name, phone number, “tell us about your project”—and ships it. Then the first RFQ comes in and the sales engineer spends twenty minutes or more reading a paragraph, trying to determine whether it is a one-off prototype order or a 50,000-unit annual contract.

That twenty minutes repeats on every submission, for every representative, for the life of the form. It is one of the most avoidable drags in a manufacturer’s inbound pipeline. The questions a quote actually requires are well known; they simply do not match what a generic contact form asks. This is especially important for a North Carolina manufacturer building a more dependable digital sales process.

Start with what determines whether a quote is possible

A manufacturing quote depends on five things: what is being made, how many, to what tolerance or specification, by when, and for what application. Miss any one and the representative must go back to the requester before pricing can start. The RFQ sits in a queue, and the buyer’s first experience becomes “we need more information” instead of a number.

The form should require those answers structurally rather than hope the requester volunteers them in a text box:

  • Part or assembly identification. Ask for a part number, drawing reference, or structured description. “Part number or drawing reference (if available)” produces a useful identifier when one exists without punishing a requester who does not have one.
  • File upload for drawings and specifications. Support PDF, STEP, DXF, and the CAD formats your team can safely accept. If the form cannot take a drawing, buyers email it separately, detaching it from the CRM record and forcing someone to match a file in an inbox to a pipeline submission.   • Quantity for this quote and estimated annual volume. These are different numbers. A 500-unit prototype run and a 500-unit-per-month program may be quoted by different people, at different margins, or by different plants. Separating the fields enables useful routing before a human reads the submission.
  • Material and tolerance requirements. Capture them as structured fields instead of burying them in notes. Even a simple tolerance choice—standard, tight, or precision, with a specification field for precision work—reduces back-and-forth.
  • Target decision date or need-by date. Ask for a real date or defined range, not “timeline” as an open text field. A quote due in three days behaves differently from exploratory research for a project six months away.

Missing-data checkpoint: if essential quote inputs are incomplete, prompt the buyer at the form or place the request in a clarification queue before it reaches the pricing owner.

Capture who is asking, because that changes everything downstream

A form that treats an engineer researching options, a procurement buyer ready to issue a purchase order, and a distributor comparing three suppliers as the same submission type will misroute all three.

A single role or reason-for-inquiry field—end user, distributor or reseller, engineering evaluation, or existing-customer reorder—does more for response quality than almost any other addition. It tells the representative what kind of answer to prepare. An existing customer reordering a known part needs a fast response from the account representative. A distributor evaluating suppliers for a bid needs pricing tiers and lead times, not a generic discovery call.

Incumbent supplier information belongs here too, asked directly and professionally: “Are you currently sourcing this part elsewhere?” Buyers testing an existing relationship for competitive pricing behave differently from buyers with an open need. Knowing which situation applies changes both quote strategy and the win probability the representative should assume.

Company and buying-authority fields deserve more credit

Company name, industry, and a work email are standard. What is often missing is a company website and a clear lead-source question—search, referral, trade show, or existing vendor relationship. That answer supports more trustworthy source reporting and gives sales useful context before the first conversation.

A field asking whether the requester has purchasing authority or is gathering quotes for someone else also belongs here, phrased gently: “Are you the final decision-maker on this purchase, or gathering information for someone else?” It is a normal B2B question. Skipping it means the representative asks later, less efficiently.

Map every useful answer to a CRM property before launch

A well-designed RFQ form with a poorly configured CRM property map produces nearly the same result as no form at all: information the requester provided sits in a free-text note instead of a structured property the sales team can filter, route, and report on.

Every field above needs a home in the CRM before the form ships—a HubSpot property, a Salesforce field, or the equivalent in another platform. Quantity, tolerance class, requester type, and need-by date should be queryable, not merely readable. Building the form is the easy half. Wiring it so sales—not only the website—benefits from the structure is the part that gets skipped. It is also why an RFQ form should be treated as part of a broader website-to-revenue system, not as an isolated page element.

The test for whether an RFQ form is doing its job is not how it looks. It is whether the first person who opens the submission can start pricing without picking up the phone.
